Presenter Guidelines

Oral Presenters:

Technical Session Oral Presentation slots are 12 minutes long: 10 minutes for presenting and 2 minutes for Q&A.

Presentation slides should be in PowerPoint format (.ppt or .pptx) and should be uploaded via EDAS no later than Friday, October 11, 3:00PM ET. If last-minute changes to slides are needed, please bring edited slide decks on a USB flash drive to be used during presentations.

A slide template is available for download here: slide-template-bsn24.pptx Use of the template is strongly encouraged, but not mandatory.

Other important info:
  • Speakers should arrive in their session room 15 minutes BEFORE the start of their session to report to the chairs. Tara Wysocki our event lead and an AV technician will also be available in case technical assistance is required.
  • Presentations should be prepared for an aspect ratio of 16:9, which is the setting that shall be used for all projectors. Any presentations using 4:3 aspect ratio will still be viewable in general, but some parts may be too small for the audience to clearly see when projected in 16:9. As such, 16:9 is strongly encouraged.
  • To avoid software compatibility problems with MS Powerpoint, speakers are advised to EMBED ALL FONTS in their Powerpoint presentation.

Poster Presenters:

All accepted posters must have a portrait-oriented layout with 36 inches in width and 48 inches in height Presenters should arrive to the scheduled room to hang up their posters 15 minutes before the start of their poster session. Push pins will be provided to hang posters on wall panels. Posters must be taken down immediately at the end of each session.

Demo Presenters:

Each demo presenter will be provided a 6-foot tabletop for their materials. If power outlets or other support are needed, contact Demo Co-Chairs VP Nguyen (vp.nguyen@cs.umass.edu) and Karan Ahuja (kahuja@utexas.edu).

Important Information

– 4-page Technical Papers

The Conference Proceedings will be included in the IEEE Interactive Electronic Library (IEL) as part of IEEE Xplore. All authors who have been accepted must register for the conference and attend the conference to present their paper. Authors who do not attend the conference to present their papers, or arrange for a co-author or knowledgeable colleague to present their paper in the absence of the primary author, will not have their paper published in the IEEE IEL and IEEE Xplore, per IEEE policy.
IEEE reserves the right to exclude a submission from distribution after the conference, including exclusion from IEEE Xplore, if the submission does not meet IEEE standards for scope and/or quality. Articles excluded from further distribution shall be archived by IEEE but shall not be indexed or appear on IEEE Xplore.

– 1-page Abstracts (Poster & Demo / Clinical)

All authors who have been accepted must register for the conference and attend the conference to present their abstracts. Authors who do not attend the conference to present their abstracts, or arrange for a co-author or knowledgeable colleague to present their paper in the absence of the primary author, cannot present their abstracts at the conference.

– Policy
  1. EMBS enforces a no-show policy. Any paper which is accepted to the conference, completes final submission, and is included in the final program must be presented at the conference.
  2. The corresponding author is the scheduled presenter of the paper, and is required to present the paper at the scheduled presentation date and time determined by the conference organizing committee.
  3. The author(s) of any paper which is added to the final conference program but is not presented as scheduled will be subscribed to the no-show list compiled by EMBS.
– EMBS No Show Author List
  1. Authors who are listed to the EMBS no-show list will be included on said list for a period of no less than 2 years.
  2. The list of no-shows will be made available to All EMBS Conference organizers, and said organizers may reject submissions from authors included on the no show list.
– Substitutions
  1. Whereas the corresponding author is required to present the paper, should any circumstances arise where the corresponding author is unable to present the paper at the conference, the corresponding author may delegate the presentation responsibility to one of the listed co-authors of the paper to present the paper in his or her absence.
  2. Said substitution of a corresponding author by a co-author must be documented and substantiated in advance via the EMBS Substitute/Absentee Form.
  3. It is the responsibility of the corresponding author to submit a substitute/absentee case to the EMBS executive office before the scheduled date of the presentation.
  4. Undocumented Substitutions will be considered a corresponding author “no show”.
  5. Should a circumstance arise where none of the listed authors are able to present the paper at the conference it is the responsibility of the corresponding author to submit a substitute/absentee case to via the EMBS Substitute/Absentee Form documenting the reason for the absence.
  6. Cases submitted to the EMBS Substitute Absentee Form, where the paper is not presented by the corresponding author or a substitute co-authors will be reviewed on its merits, and supporting documentation may be required.

 

Submission Instructions

All papers, abstracts, and workshop proposals should be submitted at EDAS website. Lead authors must visit the EDAS website and establish an account with a username and password.

If you do not have an EDAS login, create a new account. Note that it is very important that your name and affiliation associated with your EDAS account are correct and match the name and affiliation that will be listed on your paper. Please fill in the required fields and check the Privacy Policies box and click the Add Person button.

You will receive an e-mail containing your password. Your email address and the given password must later be used to access the system during the following steps, so be careful to remember it.

You can then return to the EDAS log-in page and change your assigned password to one that is easier to remember. To do this, click on the My Profile tab, and then click on Edit > Change password. Be sure to record your username, password, and EDAS identifier for later reference.

 

Four-Page Papers

1. Register Online
Please read carefully the following information concerning the registration procedure, especially if you are the prospective presenter of an accepted paper or if you need to guarantee the inclusion of your accepted paper in the proceedings. An accepted paper will be published in the proceedings only if the registration payment for one of the authors is received by September 15th, 2024, with no exceptions. In addition, the author must attend the conference and present the paper. Papers that are not presented will not be published. No exceptions.

To qualify for member rates, the membership number must be provided in the registration form.
One author registration will cover the publication expenses of only TWO accepted papers. For each additional accepted paper associated with the same registration, you must pay the associated surcharge. In the case no registration has been received and correctly processed to cover the paper publication, the conference organizers will contact the authors before the paper is removed from the proceedings.

2. Generate an IEEE Xplore compatible manuscript using PDF Xpress
All final manuscripts must be generated using the PDF Xpress tool.
To generate the IEEE Xplore compatible PDF file of your paper, follow these steps:

  1. Use the paper template
  2. Remove all headers, footers, and page numbering from your paper
  3. Create your IEEE PDF eXpress account

The first time you access the system, please follow the link to new user. Please note that to access the service, you need to allow the use of cookies from the PDF eXpress website. Once you have registered as a new user:

  1. Upload the source file (containing your paper) for conversion.
  2. Receive by e-mail the IEEE Xplore-compatible PDF of your paper.
  3. Upload your Xplore compatible PDF manuscript to EDAS.
  4. Select the “My Papers” tab.
  5. Select the paper title you wish to upload the manuscript for to be directed to the paper record.
  6. Specify the presenter and complete the presenter’s biography form – Please declare who will be presenting the paper at the conference. Once in your paper record, click the Change/Add icon in the Presenter row. Indicate who will present the paper and click Choose presenter. Presenters must fill out a short bio (50 words max) on EDAS by going to the ‘My Profile’ tab and filling in the information in the ‘Brief bio’ field. Information in this form will be used by the session chairperson to introduce the presenter.
  7. Complete the electronic copyright form via EDAS

IEEE is enforcing strict copyright rules. For your convenience, the copyright form is made available electronically through EDAS. To access the copyright form, select the icon in the copyright column within your paper record.
*NO PAPER WILL BE PUBLISHED WITHOUT THE SUBMITTED COPYRIGHT FORM.

3. Upload your paper
Bypass the “Review Manuscript” option in your EDAS paper record and upload your paper directly to “Final Manuscript” by selecting the upload icon.
Submissions are due by September 15, 2024.

 

One-Page Abstract (Poster & Demo / Clinical)

1. Register Online
Please read carefully the following information concerning the registration procedure, especially if you are the prospective presenter of an accepted abstract. 2. Template

A separate template has been used for Poster & Demo abstracts and Clinical abstracts.

  • Poster & Demo Abstracts: Use the template found here 
    • While using the conference proceedings template, you can abbreviate the author list to save space.
    • The “abstract” section in the template is optional since the 1-page submission itself can serve as the abstract.
    • Please prefix your title with “Poster:” or “Demo:” to indicate whether your presentation is a poster or demo, respectively. For example, if your intended title is “This is My Abstract Submission” for a poster presentation, your final title should be “Poster: This is My Abstract Submission”.
    • The maximum page limit for Poster & Demo abstracts is 1 page.
